Monday, April 7, 2025 Hamid
April release is here! It includes exciting new feature and improvements in existing features.
More Details and Better Visibility
New fields in student profile interesting for corporate clients: workplace, department, manager info, personnel number, etc.
Preview mode in Admin and Teacher portals for the course material of type iFrame.
ID for students was added in previous releases, now Class and Contact can have ID as well, they can be automatically generated by the platform.
School can have multiple terms and conditions in "Top Menu > Settings > Settings > Terms & Conditions". For each course you can add a default one that will be selected automatically when issuing an invoice. Still you can make the final decision when issuing an invoice, which one to include.
More details in the class overview in all portals (admin, teacher, student, parent and corporate).
When you have a class with many sessions, for ease of access, you just see recent and upcoming sessions. There was an option to navigate through all sessions but now there is a new feature that displays all sessions in one window in case you need that.
Now there is a new tab to review class homework in the Admin portal. Make sure you have activated the teacher tabs on the left pane in the Admin portal to see it.
Class Scheduling
We have two new class duration types. In the past it was possible to define the number of sessions or the number of hours for a class. Now you have the two following options as well:
- Set end date: With set end date classes, you don't need to calculate how many sessions you have to create to end the class at the end of summer. Just set the end date. To avoid mistakes, the system doesn't allow postponing to dates after the end date. If absolutely needed, the end date should change first. The rest of the rules are the same as the existing methods.
- Rolling class: This is in case you start a class that lasts for a really long time. Set the schedule and let the system generate class dates for you as you go. Every time the teacher records attendance, the system makes sure the two next dates are generated. You can archive the class to stop it.
Break time in class schedule and class session makes managing long classes easier. Instead of creating two back to back sessions to cover the morning with 15 minutes break, you can just create one session and indicate the break in that box. The system will take care of the class hours, reports and teacher payments.
In the list of newly registered students from "Top Menu > Classes > Assign Students to Classes", now there is an advanced search on both sides to provide more filtering possibilities.
Contract vs Invoice
There is a new concept called contract. Imagine you have a corporate client, you have an agreement with them to teach their employees English and you'll charge $x per hour. You can send a quote to the client, as usual. Then you can convert this into a "Contract". This way, this contract will not appear as a revenue on your revenue report but you can assign students (your client's employees) to this contract and assign them to different classes.
At the end of each month, the system will suggest invoices for that contract based on the number of hours/sessions you've been teaching those students/classes attached to that contract.
The history of past invoices issued for that contract is easy to trace and you can also issue other invoices linked to that contract without it being linked to teaching. For example if you want to bill the client for books you offered to those students.
Invoicing and Online Booking
Renew process improvement to allow confirming the renewal while keeping the invoices in draft mode in order to allow additional modification before final confirmation.
When publishing a course for online booking, you can chose to fully sell the course, or activate booking without any payment. This solves the problem with courses that need certain number of registrations to confirm and start a class. Something like a waitlist, where the invoice is ready for a final confirmation but no headache if the class doesn't happen.
After creating a quote, you can assign the student to classes even before confirming the invoice. The class enrollment will be considered "Draft" until you confirm the invoice.
In the online booking process, you can allow students to subscribe to a course or buying it just once (regular booking). If you activate the purchase of a subscription, the first invoice is issued on the spot and then another invoice every month/year.
From the list of invoices you can click on the personalize icon at the top right corner to activate/deactivate details you would like to print on invoices when you export to pdf, or send via email.
To comply with accounting principles, now the tax name is visible for each invoice item line.
Multi Department / Multi Location Schools
This is a feature to manage your departments/locations in one Demiks Admin account.
Each Department/Location can have one or multiple people responsible for it. Those people responsible for a specific location can see and manage information concerning their own location only.
The problems you can solve with this feature:
- You want to separate English department from French department
- You have multiple location where students study but you want the same admin team to manage them all while assigning coordinators for each location
- You run a test center in a language school
If you have a school with multiple branches, the branches don't share students, financial reports are not visible to the same team, etc. (like in Franchise language school brands), you need to create a new account for each branch. It's still possible to give access to multiple branches and switch between them quickly.
Manage the access to specific locations in the user management page. When you pick the "Department Coordinator" role for a user, then you can pick one or more departments/locations the user has access to.
Migration from Pedagogical Approach to Book
After many (and increasing) number of tickets and questions, we decided to call it "Book" to make it easier to understand and use. It's moved under the "Top Menu > Content > Books" in the menu.
We used this opportunity to enrich its functionalities. You can now have multiple books per class. The class still has one main book when you create/edit the class but later in preview mode, you can see a tab called "Book" on the right pane where you can add many additional books.
Each book can have chapters, and each chapter can be linked to a level in case you roughly measure student progress on which chapter of the book they are currently studying.
Teachers doing attendance, can pick which chapter of the main book they've been working on during that session. The system updates student levels and the class's current level if that chapter is linked to a level. As usual, the teacher can change them.
Feedback Survey Improvements
If you assign feedbacks automatically to classes from "Top Menu > Classes > Scheduled Feedback", the notification is being sent after the session has taken place, it used to be before the session.
To assign these feedbacks you need to pick a session number, and pick a feedback survey form. Now it's also possible to assign a feedback to classes on the LAST session no matter which session number it is.
A new notification is added to the collection which you can activate on your dashboard to stay on top of any new feedback survey form submitted by students.
